    Positions Details

    The position is responsible for operating the main telephone switchboard for the facility, and functioning as the main communication center for the community.  Also helps coordinate the Concierge team.

     

    Here are some of the position responsibilities:

    • Answers phone and transfers callers to appropriate parties.
    • Greets and assists residents, staff, guests and screens visitors and callers.
    • Distributes mail, packages and deliveries.
    • Contacts fire or police departments as necessary and in accordance with established emergency procedures. Operates PA system and alarm panel during emergencies and ensures emergency protocol is followed properly.
    • Receives payments from and writes receipts for staff and residents.
    • Performs miscellaneous word processing for administration and residents as required.
    • Handles tasks associated with petty cash, and balances cash at beginning and end of each shift.
    • Listens, responds and takes appropriate action on all resident requests and complaints. Brings suggestions and related concerns to Office Manager.
    • Creates photocopies and distributes weekly bulletins to residents, staff and board members.
    • Schedules common areas and guest room reservations. Turns in guestroom charge slip with proper billing information to accounting and housekeeping.
    • Monitors guests entering and leaving building as well as the security camera.
    • Updates hallway and lobby reader boards daily for daily activities, special programs and announcements.
    • Copies and maintains supply of office forms.
    • Keeps receptionist area, mail room and immediate lobby area neat.
    • Orders and maintains office supplies.
    • Schedules reception team to assure coverage.
    • Makes work assignments to reception team in cooperation with Office Manager.
    • Perform other duties as assigned.

    Position requirements:

    • Equivalent to high school plus additional specialized training.
    • Must be at least 18 years of age, of good character with a high school diploma and two years of college preferred. 
    • Must read, write, and speak English fluently. 
    • Basic computer knowledge of Word, Microsoft Outlook, and Excel required. 
    • Must be pleasant, gracious, and able to communicate and respond to the needs and requests of the elderly and various staff. 
    • Must have excellent telephone skills, possess good organizational skills, be accurate in handling money, prioritizing multiple tasks, distributing mail, handling emergencies, and performing other detailed tasks. 
    • Good verbal communication and interpersonal skills are required. 
    • Must be dressed and groomed in a professional manner and willing to work in a fast-paced environment with many interruptions.
